Job Description
Job Summary:
• The Transition Manager plays a critical role in managing the handover of construction deliverables to the operations team during an ongoing facility renovation. 
• This individual will act as the primary point of contact for ensuring a smooth transition from construction to full operational status, enabling the facility team to effectively maintain and manage the building.
• The ideal candidate must be able to navigate both construction and facility operations, ensuring that key stakeholders receive necessary documentation, training, and knowledge transfer. 
• They must possess a strong entrepreneurial mindset, the ability to solve problems on the fly, and the drive to take ownership of their responsibilities.
• A strong background in data analytics, scheduling, and change order management is essential for tracking progress, ensuring alignment with project timelines, and managing modifications to deliverables.

Key Responsibilities:
• Serve as the primary liaison between the general contractor, operations team, and stakeholders.
• Oversee the handover of facility systems, ensuring all relevant documentation, training, and operational standards are provided.
• Manage the transition of as-built documentation, system manuals, warranties, and maintenance schedules from the construction team to the facility operations team.
• Coordinate and facilitate training sessions provided by contractors and subcontractors for the operations team on newly installed equipment.
• Ensure smooth integration of new mechanical, electrical, and plumbing systems into the standard operational cadence of the facility.
• Utilize data analytics to monitor project performance, identify risks, and optimize transition processes.
• Oversee scheduling and ensure project timelines align with construction milestones and operational needs.
• Manage change orders, tracking modifications to the project scope and ensuring proper documentation, approvals, and implementation.
• Identify and mitigate risks that may arise from transitioning the facility from a construction site to an operational environment.
• Communicate effectively with various stakeholders, including executives, contractors, engineers, and facility managers.
• Review and interpret construction documents, drawings, and specifications to anticipate operational needs.
• Provide process recommendations and refine best practices for future transition management within the organization.
• Adapt to an evolving and innovative environment, where standard procedures may not yet exist.

Qualifications & Experience:
• Experience in project management, construction management, or facility operations.
• Strong understanding of construction processes, building operations, and maintenance requirements.
• Experience working in an active facility environment where construction is ongoing.
• Proficiency in data analytics, with the ability to analyze and visualize project data to improve decision-making.
• Expertise in scheduling tools (e.g., Primavera P6, MS Project, or equivalent).
• Proven ability to manage change orders, track modifications, and work with contracts and budgets.
• Ability to interpret technical drawings, specifications, and as-built documentation.
• Strong problem-solving skills and an entrepreneurial approach to challenges.
• Excellent organizational and coordination skills, with the ability to multi-task in a dynamic environment.
• Ability to work with and collaborate across diverse teams, including technical and non-technical stakeholders.
• Effective communicator who can translate complex construction/technical information into actionable insights for facility operators.
• Proficiency with project management software and Microsoft Office Suite.

Preferred Qualifications:
• Experience with building systems, MEP (mechanical, electrical, plumbing), and facility commissioning.

• Transition Project Manager will also consult/analyze and deliver on more complex discrete assignments/projects that have been included in the scope of work but sit outside of the general operational cadence. 
• Both positions will look for opportunities to grow and expand the scope of work packages, reduce costs, and increase profits. 
• We would like for candidates to also have a Facility Background.

Key activities and responsibilities:

1. Understanding the contract terms and conditions and Customer expectations at a detailed level
Including:
 a. The Land Development Agreement
 b. The Design Build Agreement
 c. The Operations and Maintenance Agreement
 d. The Interface Agreement
2. Manage personal time and attend recurring meetings with key construction and operational stakeholders.
3. Take meeting minutes when required.
4. Integration and introduction of subject matter experts into project reviews and deliverables
5. Oversight and understanding of Commissioning, Risk Management, IT, Quality, Energy, Safety, Finance, CMMS, Call Center, and Training
6. Develops and is accountable for the accuracy of Construction Phase (Pre-Final Substantial Completion) Deliverables.
7. Facility documentation using various camera-based technologies.
8. Assist in gathering documentation for maintenance planning.
9. Proactively address and mitigate the potential for Contractual Interpretation/Disputes
10. Ensuring that any verbal agreements and/or discussions are documented as RFIs or other recognized semi-formal and/or formal documentation.
11. Development of the Warranty Charter
12. Life Cycle Planning, Energy Project management and any other work that is deemed to be required.
13. Monthly Reporting and weekly contributions to staff meetings
14. Supplemental Service, Variation and Change Order proposal development and pricing.
15. Ensure the construction team uphold their contractual obligations.

17. Sharing process improvements and lessons learned with peers.
18. Manages the Pre-Substantial Completion portions of the approved Document Repository.
19. Manages projects associated with the Design Builder and/or supplemental works as assigned.
20. Manages the State of Good Repair (SOGR) and other pre-substantial completion documentation.
21. Assists with the development of service contracts for future assets.
22. Development of processes, manuals, SOP’s and MOP’s for future assets and works.
23. Performs other job-related duties as requested.
 
• You will drive consistency and implement industry best practices to ensure the success successful transition from an existing facility to a renovated world class train station and Class A office towers.
