• Office Support – o Seating map coordination. New and transfer employees seating arrangements • Property manager liaison – building maintenance & repairs needs • Engagement events assistance: Holiday and office décor management / visits / lunches organization / flower hour
• NJ82 announcements (weather, alerts, invites, etc.) HSE alerts linked to the site • Vendor relationship (local hotels, distributors, caterers) • Office supply ordering - building consumables management • Restocking of all kitchens and board room • Coffee machine and water filtration upkeep • Liaison with compliance for fire drill and emergency evacuation safety (in partnership with HSE) • Conference room maintenance o Other ad hoc responsibilities as needed o Exterminator upkeep • Reception (receiving visitors, temp ID badge distro, permanent ID badge ordering and distro) – • Mail and courier acceptance and distro – • AP support for HLS – • raise PRs o review supporting documentation • vendor set-up o troubleshoot delays in process o vendor set-up • key contact for vendors o key contact for internal requests o submit invoices for approvals o post GRs • keep vendors informed of payment status • initiate payment follow-up o ensure timely payment of invoices o Train new requesters
• Requires a high school diploma with 2-4 years of experience in the field or in a related area. • Familiar with standard concepts, practices, and procedures within a particular field. • Relies on experience and judgment to plan and accomplish goals. • Performs a variety of tasks. • Works under general supervision. • A certain degree of creativity and latitude is required. • Typically reports to a supervisor or manager. |
