• Plans, directs, or coordinates supportive services of an organization, such as recordkeeping, mail distribution, telephone operator/receptionist, and other office support services. • May oversee facilities planning and maintenance and custodial operations. • Performs a variety of secretarial and administrative duties for assigned supervisor/manager or senior staff member. • Performs normal office functions such as setting up and maintaining alphabetical, numerical and/or subject files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. • May take and transcribe dictation; uses personal computers and standard desktop software to compose reports, correspondence, and memorandums; reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures.
Skill/Experience/Education Mandatory:
• MS Office suite. Strong Outlook, Word, and Excel skills.
Prior experience with: • Arranging business travel and preparing travel vouchers after completion of travel and reconciling charge card expenses, setting up complex meetings with virtual technology and dial in numbers as needed, • Keeping daily schedules for multiple leaders, de-conflicting meetings and conference rooms as needed; • Working with customers and other companies to include Vice President, Director and Program Manger level offices for key meetings and reviews; • Answering the phone, routing calls, interviewing callers and making proper referrals; • Arranging meetings and conferences including scheduling conference rooms;
